Their Challenge
In the dense urban jungle of New York City stand hundreds of skyscrapers evident by its impressive skyline. These towering juggernauts contain over 84,000 elevators, used by the city’s eight million residents daily. Given their critical role, the city rigorously regulates these elevators for safety. This includes mandatory annual Category 1 tests and Category 5 tests every five years, all requiring the presence of a licensed 3rd party witness.
Allstar, with its immense volume of inspections, relied on an MS-Dynamics solution for years to manage process flow, tracking, and scheduling. However, this system wasn’t designed for their unique needs, leading to constant workarounds, significant manual labor, and glaring inefficiencies. They desperately needed a tailored solution, a specialized elevator inspection software, to keep pace with the city’s demands.
Our Solution
Frustrated with their inefficient system, Allstar partnered with Saritasa to build a custom management tool. Their primary goals were to consolidate third-party tools, automate manual processes, and regain complete control over their data and workflows. Understanding their initial apprehension about a large software project, our team collaborated closely to identify critical needs and define a Phase 1 that would deliver maximum immediate value.
The result is a custom CRM, inspection, and scheduling solution, meticulously designed as a comprehensive elevator inspection software. This system eliminated their previous reliance on cumbersome Google Sheets, tedious manual data entry, and the limitations of their off-the-shelf software, providing a powerful, integrated platform built specifically for Allstar’s unique business needs.

What Saritasa Did
Intuitive Scheduling Tool
Effective scheduling is paramount for NYC elevator inspections, which require both annual and five-year tests with specific timing constraints. Our custom elevator inspection software precisely tracks these critical dates and timelines. This robust functionality automates the entire scheduling process, ensuring Allstar consistently meets all complex legal and operational requirements for elevator inspections.
Elevator Inspection Software
This comprehensive software now handles Allstar’s entire operational workflow, from automated proposal and invoice generation to detailed inspection checklists and efficient scheduling. Proposals and invoices are automatically created from existing records, significantly easing the burden on back-office staff. Although inspectors still complete paper checklists on-site, once scanned, the system dispatches reports to the Department of Buildings and schedules the subsequent inspection.
Custom Web Development
The system was meticulously designed and built as a desktop web application, focusing on usability and efficiency for Allstar’s team. Our expert UI/UX designers collaborated extensively with Allstar to understand their existing workflows, ensuring the new web app delivered intuitive user experiences. The robust and scalable system was developed using Python for the backend and Angular for the frontend.
Custom CRM
A key component of the solution is the custom-designed CRM, which centralizes all critical information for Allstar’s business relationships. This includes comprehensive tracking and management of customers, elevator companies, buildings, company contacts, employees, inspectors, and tax authorities. By having all essential data in one secure location, Allstar gained complete control over their information and its storage, eliminating disparate data sources.
